Infomaniak kSuite versus Microsoft 365: the honest comparison for 10 to 50 seats

What you gain, what you lose, what you keep. Prices noted in September 2026; check both vendors' sites before signing.

What we are talking about

Microsoft 365 (Business Basic, Standard, Premium): Exchange mail, OneDrive and SharePoint for files, Teams for video and chat, the Office applications and, depending on the plan, device management (Intune) and identity (Entra ID). A US company, Swiss regions available, subject to the CLOUD Act (see the guide).

kSuite by Infomaniak (Geneva): Mail, kDrive for files, Calendar, kMeet for video, kChat for team messaging, SwissTransfer for large files, and an online office suite (OnlyOffice). An independent Swiss company, servers in Switzerland, no US parent.

The price, the real one

Per user per month, excluding VAT, monthly billing, as listed on the vendors' sites on 13 September 2026: Microsoft 365 Business Basic CHF 5.24, Standard CHF 13.61, Premium CHF 21.38. kSuite Standard CHF 5.54, kSuite Pro CHF 9.42 (storage and AI included); a free tier, my kSuite, exists for a sole trader. Annual billing is slightly cheaper at both. For 20 people on Business Standard the yearly gap runs from about CHF 1,000 (kSuite Pro) to CHF 1,900 (kSuite Standard). Not nothing, but not the main reason to migrate: the main reason is the question "where is our data".

What kSuite does just as well

Professional mail on your own domain, shared calendars, shared address books, filters, auto-replies.
Shared files with per-folder rights, versions, share links protected by password and expiry date.
Video calls with no account for your guests (kMeet), team messaging (kChat).
Works with Outlook, Apple Mail, Thunderbird and phones: it is all standard (IMAP, CalDAV, CardDAV), nothing proprietary.
Support in French and English, in Switzerland, by humans.

What is missing, and must be faced

Excel macros and complex Word templates: kSuite's online suite opens them but does not run all of them. If your accounting firm lives in macro workbooks, keep Excel on the PCs (see below).
Teams as an ecosystem: if clients or partners impose Teams meetings, you can still join from a browser; you will no longer have a Teams account of your own.
Central device management (Intune) and identity (Entra ID, single sign-on to other tools): kSuite does not do this. Below 30 seats it is almost never used; above, it needs a separate answer.
Line-of-business integrations: some accounting, legal-practice or patient-record applications plug into Microsoft 365 (sending mail, calendars). To check line by line in the inventory.
Copilot: Microsoft's AI assistant does not exist at Infomaniak. Infomaniak offers its own AI services, hosted in Switzerland, but not integrated the same way into Word or Outlook.

What you keep: leaving Microsoft 365 is not leaving Office

This is the most common confusion. Mail, files and video move to Infomaniak; Word, Excel and PowerPoint can stay installed on the PCs, either as a perpetual licence (Office 2024, one-off purchase) or with the "Microsoft 365 Apps" subscription, which includes only the applications, with no mail or storage. Office files stay Office files, opened and saved in kDrive just as in OneDrive.

How the migration goes

Inventory: mailboxes, aliases, groups, shared calendars, sizes, files and rights, line-of-business integrations.
Full copy upfront: mail, calendars and files copied to Infomaniak while Microsoft 365 is still running. Nothing is cut.
Switch in waves, never on a Friday: the domain points to Infomaniak, PCs and phones are reconfigured, one hour of training per team.
Double run on switch day and the day after, mailbox by mailbox.
Decommissioning after a month: licences cancelled, archive exported, accounts closed.

For 10 to 30 seats: three weeks, at most half a day of perceived downtime per person, from CHF 250 per seat.

When I recommend staying

When the company genuinely depends on Teams as a daily internal tool, when a line-of-business application only exists as a Microsoft integration, or when an organisation above 50 seats needs central identity and device management. In those cases it is better to configure Microsoft 365 properly (data residency in Switzerland, encryption, contract) and migrate only the sensitive part, for instance the partners' mail.

Frequently asked questions

Will we lose old mail?

No. The full copy is made before the switch and the original backup is kept until the acceptance report is signed. Years of archives come along.

What about staff used to Outlook?

They keep Outlook if they wish: kSuite works with Outlook, Apple Mail and Thunderbird. Only the webmail changes, and one hour of training is enough.

How long should we keep Microsoft 365 in parallel?

One month after the switch, long enough to check nothing is missing. Then cancel and export an archive: paying for both any longer brings nothing.
